10 Tips for the Successful Implementation of SAP ERP or SAP S/4HANA

In our article „10 Tips for the successful migration to SAP HANA” we will provide you with a couple of hints in case you already have an SAP System in your company and want to migrate it to SAP S/4HANA. A bigger challenge would be a completely new system implementation.

These 10 tips should be optimal for starting the system implementation of SAP ERP or SAP S/4HANA and serve as a checklist.

01. Define your goals

Before the ERP evaluation think about which data you would like to collect and which processes you would like to simplify. Without any target, tracking not only client projects would internally fail, but large implementation projects, as well. Every project member should keep one goal on mind. Define in advance the ones, which you would like to achieve with the implementation of an ERP System.

02. Reconsider your Business Processes 

Before deciding to implement a SAP System in your company, you should ask yourself what you want to change. Which processes should be optimized, joined, cut down or simplifies? Then, you should prioritize your company’s processes so that the most important and the basic ones could be reviewed first during the implementation. If the most important processes cannot be implemented exactly the way you want to, then your project will be doomed to failure, since the overall motivation goes immediately down the drain. 

03. Good Ressource Planning

Many companies plan their budget incorrectly. They notice that they want more individual customization, which would exceed the SAP Standard, but they have not planned the necessary budget. By good resource planning, together with planning the processes, which are to be implemented, bad planning can be avoided.

04. Define your goals

When you involve your employees in the planning and the implementation and when you provide them with the necessary information, they can learn how to use the system in a timely manner. Moreover, you will not have false expectations, for example elimination of job positions. In addition, you should give the important positions in the implementation project early on, so that each employee could know their task.

05. Train your Employees

Train your employees extensively and regularly. Do not forget to involve the workshops in your budget and time planning, in order to avoid great initial obstacles.

06. Start with the Core Functions

Start with the core functions and do not get distracted by the unnecessarily large number of possibilities right from the beginning. The more complex system you create, the more difficult the system update or the system relocation will be. Many processes can be mapped by the SAP Standard and by individual customizing.

07. Early Organizational Management

An implementation of SAP requires much time and a good project management. Plan enough time for your processes, because introducing a new system does not happen overnight, but it rather takes a couple of months. Many companies often underestimate how much time such an implementation would last. Do not let yourself be discouraged by this, since the result outweighs the waiting. In order not to have any time problems, plan also some buffer time. However, by planning the processes and the customizing, as well as by testing the system, it usually takes more time than previously thought.  

08. Plan the Organizational Change management (OCM)

A very important point is the planning of the Organizational-Change-Management (OCM). There it will be discussed and recorded how the workflows change, as well as which concrete changes affect the employees. In any case, involve the respective team leads and inform your employees about the possible changes. Extern partners, suppliers etc. should also be informed in details about any changes in case they are also affected by them.

09. Test Thoroughly Your SAP-Systems

You can hardly perform a system implementation on your own in your company. That is why, call on the services of a SAP service provider, who has experience with SAP and knows exactly what you need, how much time a system implementation takes place, how much human resource you need and what kind of a budget it requires etc.

One SAP service provider is responsible for the smooth transfer of you data. Moreover, they help you when it comes to choosing your hosting provider, for example. If the SAP service provider does not offer you any hosting for the SAP System, then you work as a rule closely together with SAP hosting partners.
